Understanding User Roles and Permissions
A guide to understanding user roles and permissions in Phygii.
Why Roles Matter
Phygii uses roles to control what each person can see and do within the platform. Assigning the right role to a user ensures they have access to what they need without being able to accidentally change or delete things they should not.
Roles Overview
Here are the roles you are most likely to work with as a facilities manager:
- Organization Admin — Full administrative access within an organization. Can manage locations, projects, programs, assignments, users, and settings. This is the appropriate role for facilities managers who are responsible for overseeing the platform at their organization.
- Organization Manager — Can manage programs and has broader access than a standard team member, but with fewer administrative privileges than an Org Admin.
- Organization Team — A standard user within the organization. Can view locations, projects, and media, and can work with assignments, but cannot manage users or change organization settings.
Higher-Level Roles
You may also see references to these roles, which are typically assigned to account-level administrators and Phygii staff:
- Tenant Admin / Tenant Team — Manages access across all organizations within an account.
What Each Role Can Access
In general, the higher the role, the more access a user has. If someone reports that they cannot see a certain section or button in Phygii, their role may not include permission for that area. Reach out to your account administrator to adjust their role if needed.
Changing a User's Role
Only administrators can change user roles. To update a role, open the user's detail page from the Users list and click Edit.
